Job brief

The Brunei Darussalam Food Authority (BDFA) is looking to fill the role of Administrative Executive (PA) to provide high-level administrative support to a senior-level officer, the senior management team and managing BDFA’s office operations with excellent communication skills and ability to anticipate the needs of senior officers with high level of discretion.

Requirements and skills

  • Minimum A level or Diploma
  • Proficient in Microsoft Office tools.
  • Excellent organizational skills and attention to detail.
  • Strong written and communication skills.
  • Ability to manage multiple tasks efficiently and effectively.
  • A positive and professional attitude with a strong sense of responsibility.

Responsibilities, but not limited to:

  1. Administrative Support
  • Manage the senior officer’s calendar, including scheduling appointments, meetings, and events.
  • Organize travel arrangements, including flights, accommodations, and itineraries.
  • Prepare agendas, minutes of meetings, briefing materials and presentations for meetings.
  • Collect and organize documents and correspondence for the senior officer.
  1. Communication
  • Serve as the first point of contact for the senior officer, handling phone calls, correspondence and other inquiries.
  • Draft emails, memos, and other communications on behalf of the senior officer.
  • Represent the senior officer in meetings or events when required.
  • Ensure all interactions with the senior officer’s office reflect a high level of professionalism.
  1. Event Coordination
  • Organize and coordinate corporate event, board meetings, or offsite gatherings.
  • Manage logistics, including venue selections, guest lists and material preparation.
  1. Project Management
  • Assist with strategic projects and track progress to ensure deadlines are met.
  • Coordinate with departments to gather information or facilitate communication.
  • Conduct research and compile data for reports or presentations as needed.
  1. Confidentiality & Discretion
  • Handle sensitive and confidential information with integrity.
  • Ensure compliance with company policies and legal regulations.
